Why does ADS-easy only accept certain data types?

While the ADS can accept most data types (see the Guidelines for Depositors) we can only accept the most common data types through the ADS-easy portal (databases, documents and reports, geophysics, GIS, maps and plans (vector images), photographs and images (raster images) and spreadsheets). This is simply because the complexity and file sizes associated with these other data types make the upload process difficult. What formats can you accept?

Before uploading data through the ADS-easy portal you are advised to consult the Guidelines for Depositors and the list of Preferred and Accepted File Formats to make sure that your data can be deposited. A list of accepted formats can also be found in each upload window.

Why can't my data format be deposited with the ADS?

While the ADS accepts many common file formats, because of issues over access to software and concerns over proprietary formats we cannot take them all. Most software offers options to export data into a variety of formats so it should be possible to find one that is one of our 'preferred' or 'accepted' formats. Why is there a 100Mb limit on file sizes?

While the ADS place no limitations on the size of files and datasets deposited through the exchange of physical media or digital data exchange, because of limitations in file upload speeds we are forced to place a 100Mb limit on files uploaded through the ADS-easy portal.

Why is there a 1000 file limit on the number of files I can upload?

While the ADS place no limitations on the number of files that may be included in a dataset when deposition is made through the exchange of physical media or the digital exchange of data, but because of limitations in file upload speeds we are forced to place a 1000 limit on files uploaded through the ADS-easy portal.

How do I upload data?

Uploading data is straightforward with ADS-easy. You can either 'drag-and-drop' files into the upload area, or 'choose' them from your file system by navigating to the place where the data is stored locally. Note:Some browsers may not support the 'drag-and-drop' functionality, but you should be able to 'choose' files from your file system.

Once files are listed in the upload window, you should simply select 'Upload' to add them to your deposit. All files successfully uploaded will appear beneath the 'Upload' window.

When I upload data I get a warning that my filename includes illegal characters?

Due to issues associated with the storage and management of data, all files should follow the ADS file naming policy. File names should use only alpha-numeric characters (a-z, 0-9), the hyphen (-) and the underscore (_). No other punctuation or special characters should be included within the filename. Similarly use the underscore character to imply a space within your file name. Note: If you are using the spreadsheet uploader to add metadata for your images that changes to file names should be replicated in the spreadsheet.

Special notes for GIS uploads

If you are uploading GIS files, ADS-easy has been designed to 'group' all files with the same name together (regardless of the extension) as data within a GIS are often spread across multiple files. This is done to make the creation of metadata easier and so that you only need to complete a single metadata form for each group.

Special notes for Geophysics uploads

Geophysical data should be uploaded in discrete groups that either reflect the area(s) that have been surveyed, or the different techniques utilised within a particular survey. Each of these groups will require discrete metadata and documentation.

To do this we ask that you assign each discrete group a 'Group Name' which is used to identify the survey/technique and then add the data associated with that group in the upload window. If material from further surveys is to be deposited then add a new name in the 'Group Name' and upload that data for that survey. If you wish to add further material to an existing survey, simple enter the appropriate 'Group Name' and then upload the additional data. All data will appear below the upload window under the appropriate 'Group Name'.

If you make a mistake and assign data to the wrong group, you can delete the entire group from 'Step 3: Edit Metadata' and upload the entire group again.
